Role Purpose Statement The People and Culture Officer plays a crucial role in implementing Busara's talent and people strategies, supporting the organization's growth, and enhancing the employee experience. As an advisory firm, Busara operates in a consulting firm set up, managing multiple teams in different geographies. This dynamic environment requires a strong focus on people management, talent acquisition, employee development, and maintaining a positive organizational culture. This position is responsible for implementing processes within talent acquisition and staffing, performance and talent development, employee engagement, and HR administration. The People and Culture Officer will also support promoting diversity, inclusion, and well-being across the organization. This role requires great interpersonal, organization, communication, and relationship management skills to collaborate effectively with managers, staff, and external partners. Key Accountabilities/Responsibilities: Talent Management Support Support payroll processing, ensuring timely and accurate update of relevant staff records. Maintain up-to-date employee files, contracts, and HRIS records including statutory registrations, benefit documentation, and changes in employment details. Maintain accurate and up-to-date employee records, including personal information, employment history, and documentation related to hiring, transferring, promoting, and employee exits. Drafting of employee contracts as determined by the senior officer Assist with immigration documentation and coordination for foreign employees, ensuring all required paperwork is complete and submitted. Maintain HR databases, trackers, and employee documentation for audits, compliance, and reporting. Provide administrative support in policy dissemination, training logistics, and people related communications. Maintain employee confidence and protect organizational operations by ensuring all human resource information remains confidential. Ensure the HRIS is always up to date with relevant information including updating staff records, organizational chart, policies. Maintenance of the HRIS, including keeping track of software updates, updating the team and staff on its use, onboarding new staff onto its use and ensuring adequate backup of relevant information. Support in the hiring processes such as scheduling interviews, follow up on task assessments, conducting reference checks, communicating with candidates accordingly and other recruitment logistics. Talent Development & Performance Management Assist in scheduling internal and external learning sessions, coordinating logistics, attendance tracking, and feedback collection. Maintain training records and resources in shared systems and repositories. Support the onboarding and offboarding processes, ensuring consistent implementation of organizational and functional onboarding activities. Support the implementation of the performance management cycle, including objective-setting exercises, periodic performance reviews, performance feedback, and reporting. Support the preparation of training materials, venue arrangements, and follow-ups with facilitators and participants. Coordinate logistics for new hire onboarding, including preparation of induction schedules, system access, and documentation. Schedule and track probation and performance management milestones and share reminders with relevant stakeholders. Support offboarding processes, including organizing exit interviews, collecting feedback, and preparing clearance forms. Ensure onboarding and offboarding materials are up-to-date and maintained in shared resources. Employee Engagement, Wellness & Experience Assist in planning and delivering logistics for engagement and wellness events, both virtual and in-person including Town halls, Barazas, Tara Mistari annual Research Festival among others. Serve as a liaison to coordinate wellness check-ins, birthday celebrations, parental leave communication, and appreciation efforts. Support in collecting, tracking, and summarizing employee feedback and engagement data. Help maintain internal communication channels for people-related updates and feedback. Act as a main point of contact for all inbound people team emails and queries. Execute on the quarterly staff pulse survey, including managing follow-ups Support the administration of the medical and pension benefit including facilitating additions, deletions and renewals while maintaining accurate staff records Admin and Office Management In charge of day to day management of the Busara offices across different regions, including the offices are in good condition and have the necessary supplies Work with the compliance to ensure all the offices have the relevant leases and licenses for operations Support staff with documents they need for various institutions Serve as the key contact person for all inbound people team emails Manage relevant requisitions and payment processes Support teams with travel arrangements Develop and maintain a people team filing and knowledge management system Knowledge, Skills, and Experience Minimum Requirements Bachelor's Degree in Human Resource Management, Business Administration, or relevant field. At least 2 years of proven experience in a related role as an HR generalist with demonstrated experience in training and employee engagement. Excellent interpersonal skills that enable you to work with people at all levels of an organization. Strong written and spoken communication and presentation skills that allow you to inform and advise others clearly. Excellent organizational and time management skills with the ability to manage multiple processes and tasks. Ability to handle sensitive information with discretion and professionalism.
