Job Description
We are seeking a Procurement Officer to support the efficient sourcing of goods and services across the business. This role is responsible for processing purchase requisitions and purchase orders, coordinating with suppliers, maintaining procurement records, and supporting inventory and logistics activities. The successful candidate will ensure compliance with procurement policies while contributing to supplier performance, cost efficiency, and the smooth delivery of day-to-day operations.
Key Responsibilities
Procurement Operations
- Receive and review purchase requisitions from user departments.
- Source quotations from approved suppliers in accordance with procurement policies.
- Prepare quotation analysis and supplier comparison reports.
- Raise and process Purchase Orders (POs) upon approval.
- Follow up with suppliers to ensure timely delivery of goods and services.
- Coordinate with requesting departments on procurement requirements and delivery schedules.
Supplier Management
- Maintain and update supplier database and records.
- Support supplier onboarding and due diligence processes.
- Monitor supplier performance regarding quality, cost, and delivery.
- Assist in resolving supplier-related issues and discrepancies.
Inventory and Logistics Support
- Coordinate with stores and user departments to ensure proper receipt of goods.
- Follow up on pending deliveries and back orders.
- Support shipment tracking and logistics coordination where applicable.
- Verify delivery documentation and ensure completeness of records.
Compliance and Documentation
- Maintain accurate procurement records and filing systems.
- Ensure all procurement activities comply with company policies and procedures.
- Support procurement audits by providing required documentation.
- Prepare procurement reports and spend analysis as required.
Cost Control and Reporting
- Assist in identifying cost-saving opportunities.
- Support market research and supplier benchmarking activities.
Qualifications & Experience
Bachelor’s Degree or Diploma in Procurement & Supply Chain Management, Logistics, or a related field.
3-4 years of experience in procurement, supply chain, logistics.
Skills & Competencies
- Understanding of procurement principles and processes.
- Strong analytical and numerical skills.
- Excellent communication and interpersonal skills.
- Good negotiation and supplier management skills.
- Attention to detail and accuracy.
- Proficiency in Microsoft Excel, Word, and ERP systems.
- Ability to manage multiple tasks and meet deadlines.
- High level of integrity and professionalism.
