Description PIH JOB DESCRIPTION ( Executive Associate) Position Title: Executive Associate Reports to: Executive Director Department: Executive Work Location: Monrovia, Liberia with flexibility to travel to other sites on a case-by-case basis Employment Type: Fixed Term Position Overview: The Executive Associate (EA) to the Executive Director (ED) is a senior strategic and operational thought partner within the Office of the Executive Director. Working in close collaboration with the ED, the EA provides high-level priority management, strategic coordination and oversight of daily and long-term functions of the Office of the ED. The EA supports the development, execution and monitoring of organizational strategy, ensuring alignment with the ED's vision, priorities and PIH mission. This role requires sound judgment, discretion, diplomacy, and strong leadership skills, as the EA represents the ED and the organization in complex and sensitive internal and external engagements. The EA also holds managerial responsibility for administrative support functions within the Office of the ED, including direct supervision of the Administrative Assistant, ensuring high-quality execution, efficient workflows, and clear accountability. In addition, the EA plays a central role in advancing PIH's commitment to gender equity and social inclusion (GESI) by overseeing its strategic integration across organizational priorities, policies and programming. This role offers the opportunity to operate the intersection of leadership, strategy and equity in service of a global organization committed to improving the health of the most impoverished and vulnerable communities. Essential Duties and Responsibilities: Priority Management & Executive Oversight (25%) Manage and continuously reassess priorities for the ED, optimizing time and focus amid competing organizational demands Triages high-level, sensitive and confidential information using individual discretion and judgment; act as an initial point of contact for the ED Oversee planning and prioritization of ED travel and engagements, including accompaniment for high-priority meetings and trips as needed Review, refine, and quality-assure communications, briefing materials, and presentations prepared for or on behalf of the ED to ensure alignment with organizational priorities, voice, and key messaging Establish and maintain effective boundaries around the ED's time and decision-making in alignment with organizational goals Facilitate leadership-level meetings and processes, including Executive Leadership Team meetings and leadership retreats, with responsibility for agenda-setting, content flow, and follow-up Strategic Advisory & Organizational Support (15%) Serve as a trusted thought partner to the ED on organizational priorities, strategic decisions and sensitive matters Provide oversight and accountability for the development, implementation and monitoring of organizational strategic and operational plans Identify, surface, and escalate strategic risks, challenges, and trade-offs as appropriate Translate ED priorities into clear actions, communication, and coordinated execution across teams Lead or coordinate special initiatives and strategic projects on behalf of the Office of the ED Develop and synthesize talking points and overarching messaging for ED speaking engagements and high-level external interactions Provide strategic review and copy-editing of organizational social media, press, and external communications to ensure alignment with institutional voice, strategic priorities, and equity-centered framing. Strategic Project Management (20%) Provide oversight and coordination for strategic initiatives under the ED's purview, ensuring clarity of scope, roles, timelines, and deliverables Track progress against milestones, flag risks, and ensure accountability across internal and external stakeholders Synthesize complex information into concise briefs and background materials to support timely decision-making Disseminates decisions from the Office of ED and support implementation across departments Provide oversight of administrative and financial workflows supporting the Office of the ED, serving as an escalation point for complex or sensitive matters Team Leadership & Relationship Management (15%) Provide direct supervision, coaching, and performance management for the Administrative Assistant Set clear expectations, workflows, and quality standards for administrative and executive support functions Foster a collaborative, respectful, and high-performing working relationship within the Office of the ED Represent PIH and the ED with professionalism and diplomacy in engagements with staff, donors, partners, and external stakeholders Maintains a deep understanding of organizational strategy and priorities and cultivate the ability to demonstrate organization values and mission to the staff, partners, and stakeholders Serves as point of contact for the ED, including with staff, donors and external partners Steward relationships across leadership, departments, and partners to support alignment with organizational priorities Serves as a proxy or representative for the ED as delegated. Gender Equity and Social Inclusion (25%) Lead development, implementation and oversight of PIH's gender equity and social inclusion strategy in collaboration with HR, safeguarding, the social protection team and other departments Support organizational capacity building through training, technical assistance, and development of learning materials related to GESI Contribute to and disseminate best practices, lessons learned, and technical guidance to promote high-quality, gender responsive and socially inclusive programming and organizational culture Lead or oversee gender analyses, technical studies, and assessments across program areas Support integration of GESI into monitoring and evaluation systems, including indicator development, data collection tools and staff training with relevant departments Support the formation and strengthening of patient-advisory mechanisms and community-led monitoring initiatives Represent PIH in national-level GESI working groups to ensure alignment with national strategies and policies Support integration of GESI com with the implementation of gender and social inclusion components of projects/programs Support integration of GESI components into project design, concept notes, and grant proposals in collaboration with the Policy and Partnerships team Oversee PIH's external positioning and messaging related to gender equity and social inclusion Qualifications: Minimum of 5 years of experience in a fast-paced, complex work environment requiring strong organizational, leadership and judgement skills Bachelor's degree required; advanced degree or equivalent experience preferred Demonstrated experience supervising staff and managing workflows Exceptional interpersonal and communication skills, with the ability to build trust across and outside of the organization Strong ability to manage competing priorities and meet deadlines with professionalism Proven leadership, problem-solving and strategic thinking skills High emotional intelligence and strategic thinking skills Excellent written and verbal communication skills Experience in working with senior leadership and across diverse teams Exceptional diplomacy skills and superior attention to detail Discretion and ability to manage confidential information appropriately Commitment to social justice Organizational Profile: Partners In Health (PIH) is a non-profit, global health organization that fights social injustice by bringing the benefits of modern medical science first and foremost to the most vulnerable communities around the world.
