EXECUTIVE ASSISTANT TO THE COUNTRY DIRECTOR -KENYA

Position Summary
Provide high-level, confidential administrative and strategic support to the Country Director’s office, ensuring efficient coordination of priorities, communication, and operations. The role supports executive decision-making, board coordination, stakeholder engagement, and program and grants processes while maintaining professionalism, discretion, and operational excellence.
Key Tasks & Responsibilities
- Executive Support to Country Director
- Manage the Country Director’s calendar, appointments, and correspondence to ensure optimal time utilization.
- Act as a key liaison to foster high-level collaboration between the senior management team, regional coordinators, and external partners.
- Prepare, coordinate & prioritize high-quality reports (monthly, quarterly, and project-specific), ensuring timely scheduling and proactively sharing reminders to support adherence to deadlines.
- Review and prioritize documents/requests for approval, ensuring accuracy and timely submission.
- Conduct background research to help prepare professional PowerPoint presentations, budget drafts, and executive briefing notes.
- Coordinate meetings, including scheduling, logistics, and documentation (minutes and action tracking).
- Communicate key management decisions agreed on meetings and follow up on action points.
- Represent the Country Director in meetings when delegated.
- Organize official events, stakeholder engagements, and visitor coordination.
- Maintain organized filing systems (digital and physical) for efficient document retrieval.
- Lead & support end-to-end travel coordination for country director’s office.
- Donor & Strategic Support
- Identify and track potential fundraising and partnership opportunities.
- Maintain an up-to-date database of donors, proposals, and project pipelines.
- Support proposal development and submission processes.
- Strengthen relationships with stakeholders, partners, and donors.
- Support grants management processes in collaboration with the Regional Program Officer – Grants.
- Participate in donor and partner meetings to record minutes, track all action items, and provide regular progress updates to the Country Director (CD).
- Coordinate the development of high-quality internal and external reports, ensuring all NGO, donor, and partner compliance standards are met.
- Strengthen stakeholder engagement by planning and executing high-level meetings and special events that advance the organization’s mission.
- Board & Compliance Coordination
- Coordinate all aspects of Board meetings (planning, logistics, documentation, and follow-ups).
- Ensure timely submission of statutory and governance requirements (e.g., PBORA compliance).
- Ensure compliance with NGO regulatory requirements and governance standards.
- Maintain proper records of Board decisions and documentation.
- Manage Board meeting cycles, including agenda preparation, circulation of papers, and follow-up on resolutions.
- Coordinate all Board meeting logistics, ensuring that hospitality arrangements and required member stipends are executed accurately and in line with organizational policy.
- Reports Management
- Support the coordination and timely consolidation of monthly, quarterly, and project-specific organization or donor reports.
Education / Experience
- Bachelor’s degree /Higher Diploma in Business Administration, Project Management, or a related field
- Minimum 2–3 years’ experience in administrative or executive support roles.
- Experience supporting senior management or leadership offices is preferred.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), with demonstrated ability to prepare professional presentations and reports.
